Getting Started with Zoom

Overview

Zoom is a cloud-based videoconferencing tool for audio- and videoconferencing, chat, webinars, hosting large meetings, and more. Learn how to join a Zoom meeting, adjust your audio and video settings, use meeting controls, and share your screen.

Initial Zoom Meeting Set-up

Check your email or calendar invite for the Zoom meeting ID. The content of the email will look similar to this:

Choose the meeting link

This will begin a browser session and you should see this screen asking to either Download or Open the Zoom app:

Launch the app (or complete the download/install for first-time users)

For the mobile app, be sure to choose the free "Zoom Cloud Meetings" with this icon Screen shot of the Zoom app icon. A white video camera icon on a blue background.

You can join a meeting from the Zoom application, an email invite or over the phone.

From Zoom Application

  1. Open the Zoom application
  2. Choose Join
  3. Enter the Meeting ID or Personal Link Name
  4. Optional: Modify how you'd like your name to appear
  5. Choose Join

From an Email Invite

  1. Choose the join link in your email or calendar invitation

From a Telephone

  1. On your phone, dial the teleconferencing number provided in your invite (1.669.900.9128)
  2. Enter the meeting ID when prompted using your dial pad

Note: If you have already joined the meeting via computer, you will have the option to enter your 2-digit participant ID to be associated with your computer. If you have not joined on your computer, simply press # again when prompted to enter in your participant ID.

Starting Audio and Video

  1. From within a meeting, choose the Join Audio icon
  2. Select Join Audio Conference by Computer
  3. If you still can't hear the room:
    1. Choose the ^ symbol next to the microphone icon
    2. Choose Audio Options
    3. Choose Test Computer Mic and Speakers
    4. Choose the correct speaker and microphone source from the dropdown menus
  4. If your webcam isn't working:
    1. Choose the ^ symbol next to the video camera icon
    2. Choose Video Settings
    3. Select the correct camera source from the dropdown menu

  • Select Mute to mute and unmute yourself
  • Select Video to turn on/off your camera
  • Select Invite to invite others to the Zoom meeting through email
  • Select Manage Participants to see/manage other participants
  • Select Share to share content with other participants
  • Select Chat to chat with other meeting participants
  • Select Record to start recording the meeting (if you are the meeting host)

Sharing Your Screen (Mac and Windows)

  • Select Share at the bottom of your meeting window
  • Choose one of the following:
    • Full Desktop
    • A Specific Application (Chrome, PowerPoint, Excel, etc.)
  • Check the checkbox next to Share Computer Sound to share audio with others
  • Select Share Screen
  • To stop sharing content, select Stop Share at the top of the meeting window

Tips for the Best Zoom Experience

To ensure you have the best experience using Zoom, follow the 5 tips below.

1. Download the Zoom Application

Downloading the Zoom application onto your computer, rather than using the web browser version, provides you complete access to the suite of Zoom tools such as polls, virtual backgrounds, and more.

2. Join Online

Zoom allows you two choices for joining a meeting: by dialing in using a phone or by computer with a meeting link. To help ease the load on our local communications grid, access your Zoom meeting through your computer. When joining, click on the "Join Audio by Computer" option.

3. Use a Virtual Background

If you're in a location where you would prefer not to show your background, you can obscure it by using Zoom's Virtual Background feature.

4. Protect Your Meeting (for the meeting Host)

Zoombombing can occur when an unwelcomed user is disrupting a Zoom class or meeting with racist, misogynistic or vulgar messages or images.

5. Limit Background Noise

Cut down on the amount of background noise by making sure your microphone is muted when you are not talking. Using headphones can also help cut down on the amount of background noise heard during a meeting, as well as help you hear better.
